	TERMS AND CONDITIONS 

· A group is a minimum of 10 rooms/15 pax arriving and departing together.

· There has to be one general invoice for the hotel rooms.

· A proposal is not automatically an option.

· Options will be confirmed in writing with a group name, in order to have a clear recognition of the group name for both parties.

· Options are automatically released if not confirmed by option date.
· On the cutoff date rooms which are not booked are released by the hotel at 17:00 hrs CET and can be resold by the hotel.

· The proposal is only valid for the requested number of rooms and nights on the specific date mentioned.

· In case of any amendments on an existing reservation, the hotel retains the right to amend the rate or not to accept the booking.

RATES
The rates mentioned in this agreement are net, non-commissionable, per room, per day, inclusive of breakfast and VAT. Rates do not include City Tax of 50 CZK per person, per day. Taxes may be changed due to governmental amendment. 
ROOMS

Hotel holds Standard rooms located in the main building unless other room category booked by client. 
HALF BOARD

Lunch/dinner is provided on request basis only. 
CHILDREN


One child up to and including 11 years of age is free of charge on bed and breakfast basis when sharing the room with two adults utilizing existing bed linen. Extra bed is on request basis. 
For every additional child the adult tariff applies.
Baby-cot is provided free of charge, only on request basis.

In case of lunch and dinner reservations a discount of 50 % for children up to and including 11 years will apply. 
DEPOSIT & PAYMENT  REGULATIONS
In order to keep for the Client requested rooms, Hotel requests that the Client pays deposit on the basis of following schedule:

The pro-forma invoice will be prepared based on the room breakdown provided by Pražské jaro o.p.s. 
In case the pro-forma invoice is not paid latest on the due date, Hotel reserves the right to cancel all the services booked.
Outstanding amount will be invoiced to Pražské jaro o.p.s. after the group departure. The deposit will be deducted from the final invoice.
CANCELLATION POLICY (Cancellation fees are calculated over agreed total program cost)

All cancellations or amendments must be made in writing to the reservations department. Prior to the release date of each group allotment, the above mentioned company will send a booking report reconfirming dates and the names of the groups reserved. Any unsold dates will be released at that time.

In some cases NH holds the right to apply different cancellation or release policy due to special events held in city or in an individual hotel. New policy will be informed when sending the group offer. 
FINAL NOTICE

Rooms: Rooming list is due 7 days prior to arrival.  A deviation of 8% of the total room requirements in the initial confirmed booking is allowed.  Exceeding cancellation will be subjected to the cancellation policy above indicated. 

Food & Beverage: A deviation of 8% of the total food & beverage requirements in the initial booking is allowed. Final menu selection and expected number of guests must be submitted 7 days prior to your function. A guarantee is required 48 hours before each function. Guarantees are not subject to reduction. In the absence of a guarantee, the expected number of guests will be used for billing purpose. Significant changes in the program or in the expected number of guests may result in a change of the applicable charges for use of public spaces.
ACCEPTANCE

Contained in the contract are the commitments and arrangement to be provided for your group. To enable us to provide maximum service, any requirements beyond the level of those commitments should be indicated by you upon return of signed copy of the contract to the hotel. Client obligations, pertinent to deposit and cancellation terms, are also embodied in this contract. The undersigned agrees to accept financial responsibility for the above arrangements and agrees with the payment conditions stated above.

In case one of the above terms and conditions is not adhered to, the hotel retains the right to cancel the booking.
